Appendix 16: Photoreproductions

  1. Photoreproductions for which copy is found on OCLC should be processed as monographs with copy.

    To be considered matching copy, the copy must clearly indicate that the piece is a photocopy, not a microform reproduction; furthermore, the photocopy must be produced in the same place and by the same agency as the piece in hand and must be a reproduction of the same original edition. If these elements do not match the piece in hand, a new record must be created. In this case, place the material on the Original Cataloging shelf.

    If the original edition is held by the library, do not add the photoreproduction as a copy to the record of the original; find OCLC copy for the photoreproduction or place the material on the Original Cataloging shelf so a new record can be created.

    Look for these elements, which indicate a photocopy:

    1. Old style copy (generally, records cataloged before 1992)

      1. Fixed fields

        1. D/CODE -- r

        2. DT/1 -- If date of reproduction does not match, edit to match piece in hand.

        3. DT/2 -- Original date of publication.

      2. Variable fields

        1. 090 -- Date in call number should be original date of publication and the work letter "a."

          Example:

          PS509|b .G38 1970a

        2. 500/533 -- Some indication that piece is a reproduction.

          Examples:

          500 |a Photocopy. University Microfilms, 1978.
          533 |a Photocopy. |b Ann Arbor, Mich. : |c University Microfilms International, |d1988.

          If these elements match, but the date of reproduction does not, change the date to match that of the piece in hand and use the copy.

          The place and reproducing agency in the 500 or 533 note must match those indicated on the piece; if they do not, place the piece on the Original cataloging shelf.

    2. New style copy (generally, records cataloged after January, 1992)

      1. Fixed fields

        1. PLACE --Original place of publication.

        2. D/CODE -- Appropriate code for original publication.

        3. DT/1 -- Date of original publication.

        4. DT/2 -- If applicable for original publication.

      2. Variable fields

        1. 090 -- Date in call number should be original date of publication and the work letter "a."

          Example:

          PS509 |b .G38 1970a

        2. 533 -- Place and agency must match. Date may be altered to match piece in hand.

          Example:

          533: :|a Photocopy. |b Ann Arbor, Mich. : |c University Microfilms International, |d1988.

        3. 539 -- Not used.

  2. Photoreproductions for which copy is not found on OCLC should be sent to Original Cataloging. This will include pieces for which cataloging copy for the original edition is found. Copy for the original edition must not be altered to reflect that UVa's piece is a photoreproduction.

    1. Fixed fields

      1. PLACE -- Place code for original publication.

      2. D/CODE -- Appropriate code for original publication.

      3. DT/1 -- Date of original publication.

      4. DT/2 -- If appropriate for original publication.

    2. Variable fields

      1. 090 -- Date in call number should be original date of publication and the work letter "a."

        Example:

        PS509 |b .G38 1970a

      2. 533 -- Photoreproduction note

        Example:

        533:|a Photocopy.|b Ann Arbor, Mich. : |c University Microfilms International, |d1988.

      3. 539 -- Not used.
