  1. Cataloging Supplements and Accompanying Material

    We follow the Library of Congress policy on cataloging supplements and accompanying material. Copies of the rule from AACR2 rev. and the LC rule interpretations are included in this appendix. Several options are given which are applied on a case-by-case basis. See also Appendix 18 for mixed media.

    Briefly the options are:

    1. Catalog separately if:

      1. The item is not issued at the same time as the main item; OR

      2. The piece shows an important difference in title and/or statement of responsibility.

        Most supplements will fall into this category. (See 1. in the rule interpretation.)

    2. Add a note if the piece fits the criteria in 3. of the rule interpretation.

    3. Add to end of physical description if:

      1. It is issued at the same time and by same publisher as the original piece; AND

      2. It is by the same author, it doesn't mention an author, or if it is by a different author, the nature of the work makes unnecessary any note or added entry for this author; AND

      3. The title is a general term, is dependent on the main piece or lacks a title.For additional explanation see 4. in the rule interpretation. For examples see rule 1.5E1.d.

  2. Recording Volume and Item Information for Supplements

    When a monograph has supplemental material which is cataloged with the parent item (see I.B and I. C above), the library's holdings must be recorded in the volume holdings and item records.

    1. When parent and supplement are cataloged at the same time:

      1. Copy catalogers will

        1. Edit the bibliographic record appropriately;

        2. Create copy holdings record

          Example:

        3. Create a MARC holdings record

          Example:

          If supplement is numbered, use 867.

          Example:

        4. Create an item record.

      As a general guideline, use the designation which appears in the call number of the supplemental piece (eg. suppl., guide, text). When in doubt or when the supplement lacks a designation, use suppl. When the parent item lacks a designation, use text in the 035 and the volume holdings, but do not use text in the call number or in the item record.

    2. When the parent piece has already been cataloged, and the supplement is being added:

      1. Make sure that the piece is suitable for adding (following guidelines in I. above), then edit the bibliographic record to show the supplement.

      2. Create copy holdings and volume holdings record following the instructions above.

      3. Create an item record.

III. General Rules for Description

1.5E. Accompanying material

1.5E1. Give details of accompanying material (see Glossary, appendix D) in one of the following ways:

a) make a separate entry
or
b) make a multilevel description (see 13.6)
or
c) make a note (see 1.7B11)

2.5E2. If the accompanying material is issued in a pocket inside the cover of the publication, give its location in a note (see 2.5C7, 2.7B10, and 2.7B11).

  1. Usually make a separate entry for material that either is not issued at the same time as the main work or shows an important difference in titles or statements of responsibility from those appearing in the main work.

  2. Do not apply multilevel description to any item.

  3. Generally record in a note material of the following types:

    a) The item is clearly of little bibliographic importance.

    b) Although the item might be eligible for method 4, it is best described by a less general terminology than that used under method 4.

    c) The item is best mentioned in a note because the title on the item is more a description than a true title.

  4. Generally record material at the end of the physical description when the item satisfies all the following conditions:

    a) It is issued at the same time and by the same publisher as the main work and essentially is of use only in conjunction with the main work.

    b) It is by the same author as the main work, or makes no mention of an author, or, if it is by a different author, the nature of the work makes unnecessary any note or added entry for this different author.

    c) The title is a general term (e.g., "teacher's manual") or is otherwise dependent on the title of the main work or lacks a title (e.g., "plates"). (When recording material at the end of the physical description, always use a generic term in English.)

Catalog separately all supplements, etc., to serials, except for indexes that may be noted (according to 12.7B7 and 12.7B17) or supplements, etc., that may be noted informally according to method c. Exception: Describe in a note supplements that are usable only in conjunction with the main work.

Apply the optional provision of the rule on a case-by-case basis.
