Regardless of the type of mixed media, the total number of items must be recorded on a bibliographic record.

  1. Book with Spoken Sound Recording

    1. Item Not Ordered for Clemons: Book is classed in LC and routed to the appropriate location. Sound cassette(s) is/are kept with the book. Number of items is indicated in the number of pieces field in the edit item screen.

      Example:

      300 viii, 648 p. :|bmaps ;|c28 cm. +|e1 sound cassette (60 min.)

    2. Item Ordered for Clemons: Book is classed in LC, and cassette(s) is/are given an accession type call number. Both book and cassette(s) are cataloged on same record, but separate call numbers are created for each piece.

  2. Book with Music Sound Recording

    Staff in Cataloging will complete monographic cataloging and route with the sound recording to the music cataloger for decision and completion of cataloging. Sound recordings may be considered accompanying material or may be cataloged separately depending on their treatment in OCLC. The following decisions are made at the Music Library:

    1. Cataloged on One Record: A sound recording is given an LC class number if it contains examples that illustrate examples in the text and should circulate with the text. If sound recording is treated as accompanying material, create a volume holdings record.

      Example:

      300 v. of music ;|c28 cm. +|e40 sound cassettes (analog)

    2. Cataloged on Separate Records: A sound recording is given an accession number if it contains entire compositions, can be used without the accompanying text and does not circulate. Two records are created.

      Primary text

      Example:

      300 score (v.) :|bfacsims. ;|c35 cm.

      590 T. 10 has accompanying compact disc: CD3036.

      Accompanying sound recording

      Example:

      300 1 sound disc (65 min.) :|bdigital ;|c4 3/4 in.

      500 Accompanies t. 10 of: Opera omnia / Claudio Monteverdi ; ed. Antonio Delfico (Cremona : Fondazione Claudio Monteverdi, 1991). Has call number: M 2 .I5 V5 t.10.

  3. Book with Video Material (Videocassette or Laser Disc)

    1. Item Ordered for Alderman or Clemons: Book is classed in LC for Alderman or Clemons, and video materials are given an accession type call number and sent to Clemons. Both book and video materials are cataloged on same record, but separate call numbers are created for each piece.

      Example:

      300 127 p. :|bill. ;|c21 cm. +|e1 videocassette (30 min. ; sd., col. ; ½ in.)

  4. Book with Microform

    1. With Microfilm: Rare if ever - Catalog on case by case basis, consulting with senior cataloger in unit.

    2. With Microfiche: Book is classed in LC and routed to the appropriate location. Microfiche is treated as accompanying material and is not given a separate item record. Number of items is indicated in the number of pieces field on the edit item screen.

      Example:

      500 3 maps and 1 fiche inserted in pocket at end.

  5. Book with Computer File

    Record material type as the actual type (ie. BOOK for the book and CD-ROM for the computer file). For treatment of these titles, see table at the end of this appendix.

  6. Book with Maps, Charts, Etc.

    Maps are treated as accompanying material. Mark the first piece to set the pattern and send all the materials together to Preservation/Marking.

    1. Maps Fit in Pocket: If maps fit comfortably in the pocket, the maps are counted, left in the pocket, and the number of pieces is indicated in the number of pieces field on the edit item screen.

    2. Maps Do Not Fit in Pocket: If the maps would be damaged being stored in the book pocket, Alderman materials will be sent to the Maps collection where they will be stored under the same call number assigned for the book. The accompanying maps will be listed on the copy holdings record on a separate copy holdings line, and will also have their own MHLD record if there is more than one map.

      For materials in locations other than Alderman, Preservation will be asked to make a suitable container for the maps. The book and accompanying maps will be listed on the MHLD record, have separate item records, but not separate copy lines.

  7. Book with Slides

    Book is classed in LC and routed to the appropriate location. Slides are treated as accompanying material and are not given a separate call number. Number of items is indicated in the number of pieces field on the edit item screen.

  8. Microforms with Guides, Indexes, Etc.

    The microform is given the appropriate microforms number, and the guide, etc., is treated as accompanying material. OCLC contains some records for guides only; the University of Virginia Libraries generally do not catalog microforms and their guides on separate records. The call number for the guide, etc., is the microform call number plus guide, index, etc.

    Example:

    300 27 microfiches ;|c11 x 15 cm. +|e1 guide (26 p. ; 21 cm.)

  9. Video Recordings with Guides, Indexes, Etc.

    The videorecording is given an appropriate accession number (e.g. videocassette or laser disc) and the guide or index is treated as accompanying material. For treatment of material, see table at the end of this appendix.

    Example:

    300 3 videocassettes (180 min.) :|bsd., col. ;|c1/2 in. +|e leader's/user's guide (24 p. ; 19 cm.)

  10. Computer Files with Documentation

    The computer file is given a LC call number and the guide or index is treated as accompanying material (See Chapter XII). For treatment of material, see table at the end of this appendix.

    Example:

  11. Multimedia

    The call number is governed by the cataloger's choice of the primary piece. The primary piece is given a LC classification number or accession number and the guide or index is treated as accompanying material and is cataloged on one record.

    Examples:

    300 1 computer disk ;|c3½ in. +|e1 user's guide (37 p. : ill. ; 22 cm.)

    300 1 sound disc (71 min.) :|bdigital ;|c4 3/4 in. +|e3 computer disks (3 1/2 in.) + 1 installation guide.

    300 3 videodiscs (258 min.) :|bsd., col. ;|c12 in. +|e1 text (144 p. : ill. (some col.) ; 28 cm.) + 1 sound disc (4 3/4 in.)

  12. Processing

    1. Label print materials in normal fashion. Mark the first piece of accompanying materials and send to Preservation/Marking. See Appendix 6. If computer files need to be recased, place barcode in lower left corner for floppy disk or lower center for CD-Rom.

    2. If pocket, envelop, etc. needs to be made for accompanying materials, give such instructions to Preservation/Marking.
    3. Statistics: Count the "main" volumes, but do not count the accompanying materials cataloged on the same record.. (i.e., If cataloging a print monograph, count the print volumes but not the accompanying microfiche, computer files, etc. If cataloging a microfiche, etc., count the microfiches, etc. but not the accompanying print materials, etc.)
