Staff in Cataloging will complete serial cataloging and route with the sound recording or videorecording to the Music cataloger for decision and completion of cataloging. The AV materials may be considered accompanying material or may be cataloged separately depending upon the decision of the Music cataloger.

The following decisions are made at the Music Library.

A. A sound recording is given a Library of Congress class number if it contains examples that illustrate examples in the text and should circulate with the text. The sound recording is treated as accompanying material. Holdings are indicated on the MHLD record.

III. Serial with Video Material (Videocassettes or Laser Disks)

A. Serial Ordered for Alderman or Clemons: Serial is classed in LC and routed to Alderman or Clemons, and video materials are given an accession type call number and sent to Clemons. Both serial and video materials are cataloged on same record, but holdings are recorded in separate copy holdings lines. Separate MHLD records are created for the serial and video materials.

B. Serial Ordered for Location Other than Alderman or Clemons: Serial is classed in LC and routed to the appropriate location. Video materials are cataloged on the same record, and are kept with the serial. MHLD record is created. (If branch wants to separate video materials, it creates separate copy lines, item records, corrects the MHLD record, etc.)

V. Serial with Computer File

Serial is classed in LC and routed to the appropriate location. Computer files are treated as accompanying material, and are listed on the MHLD record.

VI. Serial with Maps

If received, treat maps as accompanying material. Consult with senior cataloger if necessary.

VII. Serial with Slides

If received, treat slides as accompanying material. Consult with senior cataloger if necessary.

VIII. Serial Microform with Guides, Indexes, Etc.

The microform is given the appropriate microforms number, and the guide, etc. is treated as accompanying material. OCLC contains some records for guides only; the University of Virginia generally does not catalog microforms and their guides on separate records. The call number for the guide, etc., is the microform call number plus guide, index, etc.

IX. Video Recordings with Guides, Indexes, Etc.

If received, treat guides, indexes, etc. as accompanying material. Consult with senior cataloger if necessary.

X. Computer Files with Documentation

The computer file is given the appropriate call number (an accession number, Electronic Database or Electronic Journal) and the guide or index is treated as accompanying material. Either an MHLD record or separate copy holdings lines are used depending upon whether the computer file is networked, stand-alone, etc. (See computer files chapter.) Disks used only for running a file, etc., are not listed as accompanying materials on copy holdings lines or MHLD records.

XI. Interactive Media

The call number is governed by the cataloger's choice of the primary piece. This means that the piece could be treated as a computer file, videorecording, or sound recording. The primary piece is given an accession number and the guide or index is treated as accompanying material and a volume holdings record is created. Consult with senior cataloger and bibliographer as needed.

XII. Processing

A. Label print materials in normal fashion. Mark the first piece of accompanying materials and send to Marking. See Appendix 6.

B. If pocket, envelop, container, etc. needs to be made for accompanying materials, give such instructions to Marking.

C. Statistics: Count the "main" volumes, but do not count the accompanying materials cataloged on the same record. (I.e. if cataloging a print serial, count the print volumes but not the accompanying microfiche, computer files, etc. If cataloging a microfiche, count the microfiches but not the accompanying print materials, etc.)
