This policy addresses the treatment of titles that appear in series. There are a variety of ways that these materials can be cataloged and these procedures attempt to guide staff to the most appropriate treatment and clarify how that treatment will be handled. This section will present pertinent definitions, guiding principles, how decisions are made and detailed explanations and examples of the various choices.
I. Definitions:
Analytic: a record for an individual title in a series.
Analyze: to make an individual bibliographic record for every distinct title in a series.
Cover record: a bibliographic record for a series title.
Multi-volume monograph: a monograph complete, or intended to be complete, in a finite number of separate parts.
Serial: a numbered series intended to continue indefinitely.
II. Guiding Principle and Summary of Treatments:
Whenever possible, follow already established procedures. Standardize as much as possible though the nature of series may of necessity dictate exceptional treatment on an ad hoc basis. Unanalyzed serial and monographic titles will have a regular monographic or serial record for the set with holdings listed. Analyzed classed together serials and monographic titles will have a record for the set with volume holdings listed plus a record for each individual title. Titles classed separately (class sep) will have a record for each individual title. If the "class sep" series is currently received on a subscription, a brief record for the set will be made (in order to attach order/pay/receipt information) but no holdings will be listed. All other "class sep" series will not have a cover record. For recording holdings, see Appendix 21.
III. Series Decisions:
The decision on how a series will be treated will be at the discretion of the Series Authority Library Assistant for copy and the original catalogers for original material. Decisions will be made based on past history of the series, LC treatment, scope of the series, method of acquisition and recommendations from bibliographers, branch libraries and appropriate monographic and serial catalogers. There are four possible series decision choices. These are listed below with brief definitions. Detailed instructions appear at the end of this section.
Series Decision Choices:
A. Analyzed, Classed Separately
Definition: a series in which each item has its own bibliographic record with its own distinct classification number; individual bibliographic records carry the series statement; individual records may be monographic or serial.
B. Analyzed, Classed Together
Definition: a series in which each item has its own bibliographic record, but all volumes have the same classification number. Individual records [or ANALYTICS] carry the series statement; individual records may be monographic or serial.
C. Unanalyzed Multi-Volume Monograph
Definition: a series cataloged as a multi-volume monographic set; individual titles do not have separate records; all volumes have same classification number. Subsequent volumes are handled as monographic added volumes. Also known as "continuation."
D. Unanalyzed Serial
Definition: a series cataloged as a serial. All volumes have same classification number. Some or all of the volumes may have individual authors and titles but the library has decided not to provide records for these. Subsequent volumes are added as serial added volumes.
IV. Criteria to Consider in Determining Series Decision Options:
A. Classification options:
1. Class series together:
-LC copy with call number generally not available for individual titles
-LC holds together
-Individual titles are on same or similar topics
-Items have distinct numbering
2. Class series separately:
-LC copy generally available for individual titles
-LC classes separately
-Individual titles are on diverse topics
-Publisher's series
-No standing order for series
-Multiple locations are ordering different volumes
-No distinct numbering
B. Descriptive options:
1. Analyze:
-LC copy generally available for individual titles
-Access to individual titles and their subjects is important
2. Do not analyze:
-LC copy generally not available for individual titles
-Access to individual titles and their subjects may not be critical for retrieval
-Same author for series and individual titles
-Access to individual titles is available through indexing services
C. Options:
1. Analyzed, Classed Separately
a. Definition: a series in which each item has its own bibliographic record with its own distinct classification number; individual bibliographic records carry the series statement; individual records may be monographic or serial.
b. Treatment:
Cover bibliographic record: For standing orders, prepare minimal bibliographic record (do not perform a TAPE command). Alternately, if a record appears on OCLC, the record may be downloaded (in this case, do perform TAPE command).
Fixed fields for minimal-level records:
E/LEV: use 7.
D/S: use D.
Variable fields:
110::Input series author or corporate body main entry (if present)
245::Input series title
260::Input imprint from 643 field in the authority record
[For firm orders, no bibliographic record is provided for the series; series title available through series added entries.]
Cover copy holdings record (standing orders only): Change Catalog Status code to d [note will display to public: ITEMS IN THIS SERIES ARE CATALOGED UNDER THEIR RESPECTIVE AUTHORS/TITLES]. Change Copy Status and Class-type Codes to 2X. Use appropriate location unless the series is split between two or more locations, then use uva. Add the copy level note class sep.
Cover volume holdings record: None.
Analytic record: Prepare individual bibliographic record for each title, each with distinct classification number. Follow normal cataloging procedures.
c. Workflow: The piece will be marked "class sep" on routing slip or the print-out in book and routed to appropriate cataloger. Cover records will have been prepared when the series was ordered.
2. Analyzed, Classed Together
a. Definition: a series in which most items have their own bibliographic records, but all volumes have the same classification number. Individual records [or analytics] carry the series statement; individual records may be monographic or serial.
b. Treatment:
Cover bibliographic record: catalog as a multi-volume monograph or serial. Do not list contents in 505 note.
Cover copy holdings record: Complete copy holdings record per regular procedures. Add copy level note anal or part anal for staff use only.
Cover volume holdings record: record as usual the entire holdings. NOTE: add complete holdings to all series regardless of whether or not the analytics have been converted.
Cover item record: Use only for unanalyzed or unanalyzable titles. Analyzed titles will have item records attached to analytic record. NOTE: Convert analytics as they circulate so that item record can be linked when book is returned.
Analytic bibliographic record: Catalog each title per normal cataloging procedures.
Analytic copy holdings record: Complete copy holdings record per regular procedures. It is not necessary to link analytic record to the cover record.
Analytic volume holdings record (use if the analytic is a multi-volume title):

For either consecutive or non-consecutive numbering, update the call number in the copy holdings record to reflect all numbers. If there is not enough space, use "etc." after the last recorded number on the line. Insert semicolons as needed to prevent an error message on VIRGO.
Example: DG;21;.M3;v.2,4,7,9
Update series statement (4xx, not 8xx) on bibliographic record to reflect all numbers in the series.
c. Workflow:
Situation #1: First volume of series arrives (no cover record and no other volumes in series have been cataloged)
When the first volume in the series arrives, the series authority staff will establish the series decision and mark Anals, class tog on the print-out of bib. record in book.
Series authority staff will search for and download monographic cover record (Serials Catalogers will download serial cover records.)
Cataloger will add volume to cover record and provide cataloging for analytic record and monographic cover record.
Cataloger will add coded message note to copy level notes field of cover record: a itc (This will expand in the public mode to display as: See also individual titles for circulation information.) If there are 2 or more notes in a note field, each note must be separated by a. Do not use um= for a coded note.
If the cover record is to be a serial, cataloger will route to Serials Cataloger who will catalog a cover record. Monographic cataloger will catalog the analytic record. If no cover record is found and the cover record is to be a monograph, series authority staff will route to Head of Original Cataloging, who will distribute to appropriate original cataloger, who will complete both cover and analytic record. If it will be a serial, send Serials Cataloger a copy of the analytic record with series title indicated.
Situation #2: No cover record but other volumes in series have been cataloged as classed together.
Series authority staff mark Anals, class tog on print-out of bib. record or routing slip.
Cataloger will search for and download monographic cover record (Serials Cataloger will download serial cover records.)
Cataloger will provide cataloging for analytic record and monographic cover record if found. (see 2b)
Cataloger will add current volume to the volume holdings record and a coded message in the copy level note: um=Search by call no. for additional volumes. The cataloger will then print out the cover record's volume holdings record, mark the print-out "need retro holdings" and send it to the appropriate monographic add clerk or serials cataloger who will add retrospective holdings and change coded message to : a itc
If the cover record is a serial, cataloger will route to Senior Serials Cataloger, who will do a cover record. Monographic cataloger will do the analytic record. If no cover record is found and the cover record will be a monograph, route to Head of Original Cataloging who will distribute to appropriate original cataloger, who will complete both cover and analytic record. If it will be a serial, send Serials Cataloger a copy of the analytic record with series title indicated.
Situation #3: Cover record has been done and retrospective holdings have been added.
Series authority staff will mark Anals, class tog on routing slip.
Cataloger will provide cataloging for analytic and add current volume to volume holdings record of cover record (see Appendix 21).
3. Unanalyzed Multi-Volume Monograph
a. Definition: a series cataloged as a multi-volume monographic set; individual titles do not have separate records; all volumes have same classification number. Subsequent volumes are handled as monographic added volumes. Also know as "continuation."
b. Treatment:
Cover record: catalog as a multi-volume monograph with contents listed.
Cover copy holdings record: follow normal guidelines.
Analytic record: none.
c. Workflow: Serials/Acquisitions staff will mark routing slip with call number, "add vol." and "monograph" and route to monographic add clerk.
4. Unanalyzed Serial
a. Definition: a series cataloged as a serial. All volumes have same classification number. Some or all of the volumes may have individual authors and titles but the library has decided not to provide records for these. Subsequent volumes are added as serial added volumes.
b. Treatment:
Cover record: catalog as a serial. No contents are listed.
Cover copy holdings record: follow normal serial guidelines.
Analytics: none.
c. Workflow: Serials/Acquisitions staff will add online if received on standing order. All other volumes will be routed to serials add clerk with call number, "add vol." and "serial" on the routing slip.
