I. Introduction

This appendix describes the MARC holdings record, the standard format, and lists standard abbreviations for recording holdings data in the MARC holdings record.

II. The MHLD Record Format

The MHLD record is similar to the Virgo bibliographic record in structure. Like the bibliographic record, it contains both fixed and variable length fields.

Fixed field:

Subfield codes:

|c Location – must conform to an established Sirsi location name. Call numbers may be added to the 852 field so that it will appear in the holdings display. Call numbers are added after the |h and |I delimeters.

|h Classification part – contains the classification portion of the call number

|i Item part – contains a cutter or date

|x Staff note – information does not display for the public

|z Public note – information displays for the public

|= Link to serial control – do not edit or delete

853 Field – The 853 field is the captions and pattern field for the basic bibliographic unit (i.e. not supplements or indexes). It shows the pattern as established by the serials control record, and additional 853 fields are added when certain changes – including numeration pattern, name pattern (such as a change of frequency), etc. – are made to the control record. The 853 fields are normally tagged |82 or higher -- |81 is for the 866 field.

Indicators:

1st indicator – should be 2 (can compress or expand)

2nd indicator – should be [blank]

|8 sequence numbers (i.e. 81, 82, 83]

The |8 delimeter is the sequence number delimiter. The sequence number regulates the order of display. It is important that the sequence numbers are correct. If the sequence numbers are incorrect this could prevent a field from displaying. For example, if |81 is used for both 866 fields and 853,863 fields, the 863 fields will not display.

After the sequence numbers, i.e. |82

|a – first level of enumeration [usually v.]

|b – second level of enumeration [usually no.]

|u – limit for second level etc. of enumeration before it starts repeating (bibliographic units per highest level)

|v – whether numbering is repeatable

|i – year

|j – month or season

|k – date [i.e. the day of the month]

863 Field – The serial control record generates the 863 field when an issue is checked in. Normally, there is a separate 863 field for each issue checked in. The 863 fields are closely connected to the 853 fields since they follow the pattern established by the 853 field.

The examples above illustrate issues received on checkin records connected to the 853 field in the example for that field.

All of the checkins are automatically labeled |82 since the 853 is |82. Then we have the numbers of the checkins. The following delimiters are taken from the 863 field in the above examples.

|a29 – v.29

|b1 – the number of the issue

|i2000 – the year

|j01 – the number of the month.

866 Field – The 866 field contains a textual description which consist of either enumeration, information, chronology information, or both.

Indicators:

1st indicator – should be [blank] (We are not indicating level of holdings)

2nd indicator – should be “0” (non-standard)

Subfield codes:

|81 – link and sequence number

|a – textual holdings: contains the textual form of the holdings

|x – staff note: does not display in WebCat

|z – public note: displays in WebCat

867 Field – The 867 field contains holdings information for supplements with independent numbering schemes. In the public view, the 867 field will only appear in the FULL and ALL views.

Indicators:

1st indicator – should be [blank] (we are not indicating level of holdings)

2nd indicator – should be “0” (non-standard)

Subfield codes:

|8* - link and sequence number. Contains data which links related 853-868 holdings data.

*The |8 delimiter value should be a high number such as |88 or |89. The supplements will then display after the main holdings.

868 Field – The 868 field contains holdings information for indexes. In the public view, the 868 field will only appear in the FULL and ALL views.

8* - link and sequence number. Contains data that links related 853-868 holdings data fields.

The |8 delimeter value should be a high number such as |88 or |89. This will cause the indexes to display after the main holdings. If we have both supplements and indexes use a different |8* sequence.

III. MARC Holdings Fixed Fields

A review of batch loading LDRs into OCLC has prompted the reconsideration of cataloging practice concerning fixed fields in MARC holdings records. Since we have decided not to batch load LDRs at this time, these recommendations are primarily based on having more accurate serials holdings records. Only the fixed fields are being considered; not other fields which need to be present in a certain way for the records to be loaded.

We recommend that only the Rec-Type be edited for monographic sets; it should be v (multivolume item) instead of y (serial) which is the default. The chart below shows which fields should be input/edited for serials.

This recommendation is only for current work; it is not to be done retrospectively unless a staff member is working on the holdings record.

This recommendation is for the minimal level of coding required of all catalogers. Special locations such as Special Collections or Music may use a higher level of coding. However, this is a departmental choice; not the choice of an individual staff member.

An asterisk (*) preceding the SIRSI field name indicates the field is currently required for batch loading into OCLC.
No is indicated for serials editing when the value is system supplied and thus does not need editing.

V. Types of Holdings Data


Data entered in the holdings records may consist of either enumeration information, chronology information, or both. Enumeration refers to numbering systems for multipart publications, e.g., volumes, issue numbers, parts, etc., while chronology consists of chronological descriptors, e.g., year, season, month, day, etc.

Although the types of information entered in the holdings records vary widely, note the following guidelines:

A. Holdings data for periodicals usually consist of enumeration data followed by chronological data.

B. Holdings data for monographic sets usually consist of enumeration data alone.

C. Holdings data for newspapers usually consists of chronological data alone.

VI. Formatting Holdings Information

A. Use explicitly stated volume designators (v., no., etc.) for enumeration data at all levels of enumeration. When entering volume designators, first identify the volume designator(s) or highest level of enumeration appearing on the piece. Consult the AACR2, rev. standard abbreviations and part V. of this documentation to identify the correct format to use in entering holdings data. For foreign language enumeration designators, use the appropriate abbreviation for that language.

B. Volume designators are not repeated before the last unit in a sequence.

C. When a volume with missing issue(s) is completed, compress the parts as follows:

D. Use only Arabic numerials (0-9) when entering numerical data. Translate all Roman numerals to Arabic numerals.

E. If alphabetic characters are part of the enumeration or chronology data, include these in the transcription.

F. When entering months or seasons of the year in chronology data, first identify the chronology as it appears on the piece. Consult the AACR2, rev. standard abbreviations and pt. V of this documentation to identify the correct format to use in entering chronology data. For months and seasons in foreign languages, use English.

G. Punctuation

Use only the following punctuation symbols in the manner described (extracted from ANSI Standard Z39.44-1986)

1. Use a hyphen “-“ to indicate an unbroken range of holdings data between a beginning and ending unit.

2. Use a comma “,” to designate a gap in a range of holdings. A“gap” is defined as an issue or groups of issues which were published, but which are not held by the library location for any reason. For issues that were not published, compress holdings and add a note about the missing issue. Ex: v.7|zissue no. 8 not published

3. Use a colon “:” to separate between multiple levels of data. Enter the highest level of data (the largest unit) first, followed by each lower level in decreasing order.

4. Use parentheses “( )” to enclose chronology information when it follows enumeration information. If holdings are expressed by chronological information alone (newspapers, etc.), do not use parentheses. Do not use for monographs.

5. Use the slash “/” to indicate combined volumes, issues, etc., when one or more volumes or years are issued by the publisher in a single physical piece.

6. For enumeration data, use the equals sign “=” to indicate that the data that follows is an alternative numbering scheme.

7. Use square brackets “[ ]” to enclose translated Gregorian dates.

8. Use two spaces to separate enumeration and chronology information within a statement line. Do not use spaces to separate elements within an enumerations or chronology data area.

9 . Volume designators that do not end in periods (e.g. disk, fiche, etc.) have a space before the holdings enumeration.

All abbreviated designators DO NOT have a space.

H. Use of statement lines.

1. A sequence of completed units at the highest level of enumeration and/or chronology will be entered on a single statement line.

Examples:

866_0|81|av.1-21  (1940-1960)
866_0|81|a1912-1967

2. Incomplete units will be entered in correct sequence on separate statement lines.

866_0|81|v.1-2,4-7  (1985-1990),
866_0|81|av.8:no.2-3  (1986:Spring-Summer),
866_0|81|av.9  (1987)


Note the use of commas in the example above. Commas are used to denote gaps between statement lines as well as gaps within a statement line. Assuming this is a quarterly publication, the comma at the end of the first statement line indicates that v.8:no.1 is not held by the library, and the comma at the end of the second statement line indicates that library holdings lack v.8:no.4. The holdings for v.8 are listed on a separate line since it is an incomplete volume.

I. Supplements:

For supplements with independent numbering schemes, use that numbering to record the holdings.

Example:

If we receive numbers 1-3 of the supplements to a title, we should record the holdings as:

Do not use for unnumbered monographic supplements.

J. Indexes:

Do not use for unnumbered monographic indexes, use the 866 field.

1. When adding subject/author/title indexes:

If each is separately bound, list each one separately,
preceding the holdings with:

SUBJ. (in all caps)
AUTHOR (in all caps)
TITLE (in all caps)

2. When adding key indexes that are separately bound: Precede the indexes holdings with KEY: (in all caps)

Example:

3. If the index covers more than one year and is bound in with a regular volume or issue, then do NOT add the index to the volume holdings. Instead, add the index to the bibliographic record in a 555 field in the following format:

555::dates & years of index, in vol. # it is included in.

VIII. Edit Existing MARC Holdings Record (MHLD)


1. Open the maintain existing title button

2. Search for the existing title

3. From the search results box, highlight the title (if there are multiple records for the title, may need to view each record to be sure you have the correct record)

4. Click on the modify item button

5. Click on the Marc Hldgs tab

6. If one or more mhld records already exist for a title, the library, location, and linking list displays. Click on the platform of the mhld record you want to edit.

7. The mhld record will display

8. Make updates and click on the ok button in the mhld record to save changes

9. This will return to Modify title: modify title box

10. Click on the platform of the mhld record to review changes

3. From the search results box, highlight the title (if there are mutiple records for the title, may need to view each record to be sure you have the correct record)

4. Click on the modify item button

5. Click on the Marc Hldgs tab

6. If one or more Marc holdings already exist for the title, the library, location, and linking list displays.

7. Click on the add holdings button

8. Modify title: select serial holdings library screen-create a marc holdings record for library – enter library

9. A holdings template displays

Fixed fields: accept default values

Required fields:

852 |c(location) in all caps: location should match the home location

866 Follow established standards for inputting volume information

Example: 866 _0 |81|av.1-3
866 _0 |81|av.1-3 (1999-2001)

Notes: |z public and |x staff notes may be added to the 852 and 866 fields.

After all holdings information has been entered, click on the create holdings button to add the holdings record

10. This will return to the modify title: modify title screen. The mhld record will be listed in the list of holdings record

11. Click on ok button to save the changes
