Appendix 23: Bound-Together Volumes

  7. Volumes which are physically bound-together (alias bound-withs) need special treatment. Each title has its own bibliographic record and all titles have the same call number. There are two kinds of "bound- withs": two or more volumes of an analytic bound together in the same physical piece and two separate and possibly unrelated monographs bound together in the same physical piece. The treatment is the same. There are some processing exceptions for conversion and Special Collections.

  1. Parent Title (Copy and original)

    Catalog the parent title using current cataloging guidelines.
    Add a 590 note listing the other titles, authors and dates of publications which are bound within the piece.

    Example:

    590 With: The conflict of wit & will / edited by Bruce Dickins. 1938.

  2. Child Title (Copy and original)

    Catalog the child title using current cataloging guidelines.
    For original cataloging, create the title without the copy (Create title - copy NO)
    Add a 590 note listing the title, author and date of publication of the parent title.

    Example:

    590 With: Salwes warde / edited by R.M. Wilson. 1938.

    Do not make title added entries for the parent title.

  3. Removing the Copy (Copy cataloging only)

    All downloaded titles automatically get loaded with a copy. In order to link the child title to the parent title, the copy must first be removed from the child title.

    1. Retrieve the child title.
      Click on the remove icon (or use the command list).
      Leave the title box unchecked (only remove the copy, not the title).
      O the next screen type "Y"

    2. Retrieve the child title again. The copy should say "NONE"

  4. Linking the Child Titles

    Go to the Edit Item screen of the child title. There will be no Copy Information Section, because the copy has been removed.

    It is not necessary to edit the new call number field. The only exception to this is analytics and documents where the volume number or sudoc number needs to be unique.

    1. There are two ways to link:

      1. In the parent call number field enter the call number for the parent title. Copying and pasting the call number from the parent record is highly recommended, because the call number must be entered exactly as it appears in the parent title.

        OR

      2. In the barcode field, Scan or type in the barcode of the parent title.

      It is not necessary to do both in order to link the titles.

    2. To view the results use the Display 1 command and check the box next to Bound-withs. Some indexing will not be complete until overnight.

  5. Unlinking Titles

    To unlink a child title from a parent title.
    Retrieve the child title.
    Go to the Edit item screen.
    Erase the parent call number field.
    Click GO or press [Enter].

  6. Exceptions

    1. Analytic conversion

      Follow the above procedures except the format of the 590 note should be as follows:

      Example:

      590 Bound with other titles in the series.

      The parent call number should include all volume numbers of the child titles.

      Example:

      HF5006 .M5 v.3 no.1-5

      The call number in the child title should include only the volume number for that title.

      Example:

      HF5006 .M5 v.3 no.4

    2. SPECIAL COLLECTIONS IN PROCESS

      Two or three titles bound--not analytics. (The number of titles is determined by the Rare Book Cataloger depending on the length of the pieces.)

      First title in the book, follow steps outlined in I.A.1-2.

      All other titles in the book, follow step I.B.1.

      More than three titles bound--not analytics.

      First title in the book.

      On the bibliographic record, add a 590 note stating:

      Example:

      590::First of twenty titles in a volume of miscellaneous pamphlets. Search by call number to retrieve all titles in the volume.

      On the copy holdings record, add no. 1 to the call number for the title.

      Example:

      D;8;.M5;1830;no.1

      All other titles within the book.

      On the bibliographic record, add a 590 note stating the title, author and date of publication of the first title. if necessary for identification, add place of publication, publisher's name, and/or edition statement.

      Example:

      590::Second [etc.] of twenty titles in volume with: Address to the members of the City Council on the removal of the municipal government to the old state house / Harrison Gray Otis. 1830. Search by call number to retrieve all titles in the volume.

      On the copy holdings record, use the call number assigned for the first title and add a sequential number to the call number for each title in the volume:

      Example:

      D;8;.M5;1830;no.2 [etc.]
