  1. RLIN Searching

    RLIN searching can be done through Telnet, SmartPort or Eureka. The Telnet and Eureka searches also show call numbers which can be used in classifying a book. These basic instructions are for Telnet searching. SmartPort searching instructions can be found at: www.lib.virginia.edu/cataloging/SmartPort/smart2.html.

    1. Logging on to RLIN
      1. At the Unix $ prompt type: telnet mercury.rlg.org [Enter]
      2. At the account prompt type:

        y9.a87 [Enter] Password: 64precis [Enter]

        y8.c75 [Enter] Password: a75begun [Enter]

        y8.c74 [Enter] Password: w22hide [Enter]

      3. At the command prompt type: cal rlin (cat) [Enter]

      1. Looking at search results

        In response to most searches, RLIN provides a Multiple (MUL) display on the screen or a prompt for the multiple display on the command line.

        1. Display formats

          The system will automatically default to one of the following depending on the number of records the search retrieves.

          1 title -- System displays the title in PRIMARY (PRI - descriptive information, holding libraries) format if item is part of a record cluster.

          2-7 titles -- System shows in MULTIPLE (MUL - brief citations, holding libraries) format as many clusters or records as will fit on the screen and prompts +? if there are more screens to display. To see the next screen Press [Enter].

          8+ titles -- System shows the number of records retrieved and prompts MUL? To see the results in MUL format, Press [Enter].

        2. Interpreting the MUL display

          The multiple display consists of number items called clusters. A cluster is a group of records for the same title or edition.

          To move through the multiple display:

          + or - Next or previous page
          mul6 MUL display beginning with #6
          mul MUL display beginning with the first cluster
          +B or -B Next or previous cluster
          +M or -M Next or previous record within a cluster

        3. Displaying a record

          To retrieve a specific record, at the :? prompt, type: dis [cluster number] and/or [library abbreviation]

          Examples:

          dis 1 dclc
          dis dclc

    3. Logging off from RLIN

      At the prompt type: logoff

  2. Processing/Cataloging Instructions
    1. RLIN record to replace provisional VIRGO record
    2. No record found in OCLC, but record found in RLIN. If extensive editing is needed, the cataloger has the option to put book on the full shelf.

      1. Write down RLIN ID number if searching RLIN through Telnet.
      2. Go to SmartPort
        1. In BIB-ID box type the whole RLIN ID number.
        2. Click on RLIN record and overlay the VIRGO record.

      3. Edit record as follows:

        ENC_LVL -- I

        DESC -- a

        003 -- Delete

        035 -- Delete

        040 -- Use valid NUC code (see OCLC Participating Institutions), add |cVA@
        (Note: |dVA@ is not valid for OCLC input)

        Authority verification -- check all headings.

        Delete 911 field.

    3. Full OCLC record in VIRGO with RLIN help (call number, subject headings, etc.)

      Add appropriate fields to OCLC record by typing or cutting and pasting the information.

    4. Minimal OCLC record in VIRGO, but a more complete RLIN record is available. Edit the OCLC record by typing, cutting and pasting

      OR

      1. In VIRGO:

        1. Copy OCLC number (035 field)

        2. Paste number in 911 field.

      2. In RLIN:

        Overlay the VIRGO record with the RLIN record using SmartPort.

      3. In VIRGO:

        1. 035 -- Delete RLIN number. Paste OCLC number from the 911 field in this field.

        2. Edit according to cataloging procedures.

    5. Everett record in VIRGO

      1. If OCLC record is found, overlay the VIRGO record, delete EVERETT from item cat2 and catalog using normal procedures.

      2. If Everett record is used:

        ENC_LVL -- I

        DESC -- a

        GOVTPU -- [blank]

        AUDIENC -- [blank]

        003 -- Delete

        007 -- Delete

        040 -- Add |cVA@

        Authority verification--check all headings.

        Delete the 911 field.
