I. Introduction
The emphasis in this chapter is on print serials, but it includes print integrating resources. Specific procedures for electronic serials, microforms, etc., are included in other chapters. UVA made the decision to add information for electonic serials to the print record whenever practical effective in October 1997. The procedure for doing this adding is given in Chapter XIID.
With the 2002 revision, chapter 12 of AACR2 was changed from Serials to Continuing Resources, and includes both serials and integrating resources.
Definitions:
- Continuing resource: a bibliographic resource that is issued over time with
no predetermined conclusion.
- Includes serials and ongoing integrating resources.
- Serial: a continuing resource issued in a succession of discrete parts,
usually bearing numbering, that has no predetermined conclusion.
- Includes journals magazines, electronic journals, continuing directories, annual reports, newspapers, and monographic series.
- Integrating resource: a bibliographic resource that is added to or changed by means of updates that do not remain discrete and are integrated into the whole.
- Iteration: an instance of an integrating resource, either as first published or after it has been updated.
II. Pre-Cataloging Routines
A. Determine that item is to be cataloged.
Each serial (which is not a periodical) to be cataloged should have a routing slip. If not, consult supervisor.
Green slip - from Acquisitions (firm order)
Yellow slip - from a departmental library, usually Darden
Blue slip - from Gifts and Exchange
Pink slip - from Serials (standing order)
Lavender slip - from Acquisition (approval order)
Orange slip - From Government Documents
B. Search VIRGO to confirm that the record is in the system and that there are no duplicate records. Retrieve VIRGO record.
C. Determine that copy matches item in hand.
Most records will be downloaded at the ordering point. It is the cataloger's responsibility to make sure the material in hand matches the record on VIRGO. If the record does not match, research the item on OCLC or RLIN.
Determine if item is a monograph or serial. Generally, a print item is a serial if (1) it is intended to continue indefinitely AND (2) it bears some sort of sequential number or chronological designation, which makes each piece unique (exception: updating loose-leaf services). If there is doubt about an item's status, consult with the Serials Cataloging Coordinator or a serials cataloger. Normally, serials should be caught at the searching point and routed directly to serials catalogers.
D. Do the series authority work.
If the bibliographic record contains a 4XX or 8XX field or a series is given on the item, check for the series authority record. If no such record exists in VIRGO, search OCLC, and download authority record. If there is no authority record in OCLC or if a conflict occurs, consult with the Series Authority Library Specialist.
III. Cataloging - Copy and Original Cataloging
A. Create or Edit Item: Use the Add title or Maintain existing title wizard, depending upon whether there is already a record for the title in VIRGO. It is also acceptable to catalog an original serial directly on OCLC.
B. Volume/Copy information tab:
Call number: Generally, the "Call number" is an LC call number, and the "class scheme" is LCPER (so that the volumes display in the proper order). [See 050 field for policy re call numbers assigned by LC.]
EXCEPTIONS: For Clemons for current periodicals which are not kept and for Darden: "Call number" is Shelved by title and "class scheme" is ASIS (for textual call number).
Government documents use call numbers based on the SuDoc system, and the "class scheme" if SUDOC-SER.
Call numbers display for non-cataloged materials if records containing call numbers have been downloaded. Also, VIRGO will automatically assign a call number if none is assigned. Any incorrect call numbers associated with a record should be corrected using such commands as edit item.
Item ID: Use the system supplied number for periodicals, and the barcode number for serials.
For type (i.e. material type) and home and current locations and circulate see table in Appendix 12 (in preparation).
Item Cat1: Select the type of cataloging (such as DLC, original, member, etc.) (see Appendix 1 [in revision])
Item Cat2: Used for such thing as "rush." (see Appendix 1 [in revision])
Use the following values:
Title control: automatically supplied when record is downloaded or original record is created.
Record format - SERIAL (for serials)-
MARC (for integrating resources including loose-leaf services until OCLC implements form for integrating resources)
Created by -- e-mail ID of person cataloging

F. Variable Fields - Copy and Original Cataloging for Serials
Remember that following AACR2, the earliest available issue of a serial should be used in cataloging.
Follow University of Virginia policy regarding authority checking for names and subjects: 1XX, 6XX, and 7XX fields (see Appendices 3 and 5.) Authority checking must be done for original cataloging.
The most important fields are listed here. Also included are some fields, which are now obsolete and should not be used. Check OCLC's Bibliographic Formats and Standards for other fields and additional information about the fields listed.
Fields preceded by a pound sign (#) are specifically for copy cataloging and can be ignored in original cataloging.

is a filing indicator. If the title of the serial includes both a spelled out form and an acronym or initialism, use the full spelled out form for the title proper. Subfield b (remainder of title) is often not used for serials. If the subtitle does not meet these requirements and the cataloger wishes to retain the subtitle information on the record, then enclose the subtitle in quotation marks and add in a 500 note. Make title added entries when appropriate. Add statement of responsibility [subfield c], especially for generic titles published by an organization.

Dates [subfield c] are not used as frequently as in monographic cataloging. If there is no 362 field, the date in the fixed field should match the date in the 260 field. If no date is used, omit the comma immediately following the end of information in subfield b. |

This field is for the publication itself, NOT for our holdings. The field is either formal (first indicator 0) or informal (first indicator 1) depending upon whether the cataloger has the first issue issued. No subject headings are needed for titles classified in "AP" and sometimes in "AS" class numbers. Select subjects on the basis of what the item is about using as specific a heading as possible. Generally, use only established Library of Congress topics or place subject headings, or names (personal or corporate) established according to NACO standards. When adding the electronic access at the same time as cataloging the print version, remember to create a call for the electronic version. |

Separate holdings records are needed for each library when a print title is held in multiple libraries.
In the past, we used to create holdings records for electronic journals; now these holdings are given in the 856 field, z subfield following the u subfield giving the URL.
For non-periodical serials (no serials control record to be created)
Fixed fields for holdings records should be edited following the instructions given in the table in Appendix 21 (Standard Format for Holdings), section III, MARC Holdings Fixed Fields.

The following fields are created from the serials control record, and the checkin of specific issues, and thus will not be present on a newly created holdings record.
The 853 field displays prior to the 866 fields.

Catalogers should create serials control records for periodicals with a frequency of annual or more often, which the University of Virginia wants to claim. (We currently do not create control records for annuals, which are considered serials.) Generally, catalogers should create the holdings record prior to the creating the serials control record, and link the serials control record to the holdings record. Catalogers should generate check-ins from the serials control record, and check in any issue[s] they have received to catalog. See the Serials Control Manual for instructions.
J. LDR (Local Data Records)
The Periodicals Cataloger is responsible for entering LDRs (Local Data Records)
into OCLC for all print periodicals (except for Special Collections and government
documents).
Since serials are cataloged using successive entry, there are a number of cases when a serial should be cataloged on a new record. Only changes indicating a new work should be on a new record. New records are needed in the following situations:
- Main entry changes (for serials with corporate main entry)
- Change of corporate body used as a uniform title qualifier
- Major change in title proper (probably most frequent)
- Major change in edition statement
- Translated serial undergoes change in original title
- Change of physical format (UVA is currently not following for print becoming electronic only)
There are fewer title changes than in the past since, with the 2002 revision of AACR2, minor changes in title proper do not result in a new record. If in case of doubt if a title change is major or minor, consider it minor.
Major title changes include:
- Addition, deletion, change, or reordering of any of the first five works (excluding
initial articles) unless the change is among the minor change exceptions.

o Yearbook of Nordic statistics ® Nordic statistical yearbook
o ACE newsletter ® ACE journal
- Change in meaning of title or subject matter even if the change comes after
the first 5 words
o Best bed & breakfasts in the world ® Best bed & breakfasts in the United States
- Major change in name of corporate body (i.e. new heading needed) recorded
as part of title proper
o Reports of the Institute of High Speed Mechanics ® Reports of the Institute of Fluid Mechanics
Minor title changes (no new record) include:
- Differences in representation of a word or words
o Different spellings
o Abbreviation, symbol, or acronym vs. spelled out form
o Arabic vs. Roman numerals
o Change in grammatical form such as
o Singular vs. plural
o Adjective vs. noun
o Genitive vs. nominative - Name of the same corporate body is added or deleted anywhere in the title or the representation of the name is changed (e.g. from full form to acronym or in the fullness of the hierarchy)
- Different order of titles when titles are in multiple languages
- Words in lists can be added, deleted or the order changed provided there is no significant change in subject matter
- Type of resource: the addition or deletion anywhere in the title of words that indicate type of resources such as "magazine," "journal," or "newsletter," or their equivalents in other languages. However, change of type of resource or a word denoting frequency is considered a major change.
- Addition, deletion, or change of articles, prepositions, or conjunctions anywhere in the title.
- Punctuation changes includes addition or deletion of punctuation including initialisms and letters with separating punctuation.
- Addition, deletion, or change of words that link title to the numbering.
- Two or more titles proper used on different issues of a serial according to a regular pattern.
When title changes (or changes necessitating a new record) occur, the cataloger should close the old record and catalog the new title according to the procedures above.

L. Cataloging Print Integrating Resources:
Until OCLC implements a new workform for Integrating resources, these titles are supposed to be cataloged on the monographic form using additional fields to show the seriality.
For continuing resources, use the current iteration of the resource for its description (except for the beginning date of publication).
Integrated entry (what used to be latest title for serials) is used for integrating resources.
Much of the cataloging for integrated resources is the same as for serials. Differences are given below.
Existing bibliographic record is changed to describe the current iteration of the resource.
- Most areas of description are based on latest iteration.
- Data elements from previous iterations are entered in notes if required or considered important.
Bibliographic records for integrating resources will be actively updated and require ongoing maintenance.
Use the 006 field for fixed field information for the serial until the new workform is implemented:
Type = lower case i (for integrating)
Frequency - can use k (for continuing)
Regularity
ISSN
Type of continuing resource (SrTp) = lower case l (for updating loose-leaf)
Form of original item (Orig.)
Form (Reproduction)
Ent.W (Nature of entire work)

Entry convention (S/L) = 2 (for integrating resource)
When changes occur in the description, whether in the 245, 250, 260, or 4XX fields, make the changes in the field and note the former information in a note if it is considered important. Earlier titles should normally be noted and traced in the 247 field. If the situation requires more information than can be given in a 247 field, use a 547, former title complexity note.
Frequency of updates should be noted in the 310 field if it is known, and former frequencies are given in the 321 field.
The 362 1 field may be used to show publication date information when not from
the first/last iteration. For example, 362 1 field can be used for giving beginning/ending
publication dates when first/last iterations are not available.
Note the latest iteration when used for the cataloging description, if not the
first

Often this can be combined with source of title proper note:

New record would be required for a print integrating resource (loose-leaf service)
if there is a new base volume, an in toto replacement edition.
