University of Virginia
Digital Resource Management Planning Team

1. Background

The management of digital resources extends beyond the creation or acquisition of the digital objects, much as physical collections are managed during the life of the book (cataloging, inventory, weeding, preservation). Various types of metadata records, including descriptive, administrative, technical and structural, are used to manage access to and behavior of digital objects. Standards and quality control are important for both metadata and the digital objects themselves. The life cycle of the digital object may extend well-beyond the life of some physical objects, but only if the Library plans for digital preservation, including refreshing both content and metadata (upgrading as standards evolve).

2. Charge

The Digital Resource Management Planning Team will develop guidelines and implementation plans for digital content standards to ensure that existing, purchased, and newly created digital objects can be fully integrated into the digital library and maintained throughout the life cycle of the digital object.

The team will:

  • Examine current resource production to determine appropriate workflows and "hand-offs" for metadata creation and file standardization.
  • Create an inventory of permanent digital collections of the Library. Identify areas where the evolution of standards will create digital library integration problems.
  • Examine quality control issues at all stages of digital content creation and recommend appropriate best practices.
  • Examine ways to enrich metadata records (including bib records in Virgo) with evaluative, explanatory and other information.
  • Identify existing standards for Administrative, Technical and Structural metadata, especially in the area of authentication and rights management.
  • Determine a policy or policies regarding maintenance of existing digital objects in light of constantly evolving metadata and format standards.
  • Prepare an implementation plan that addresses technical, educational (staff and user), workflow, resource, and staffing implications.
