1.
We are only preserving the digital object at the most rudimentary level and
not the original environment in which the item was delivered.
a.
Everything that will be preserved will be migrated.
b.
We are not committing to preserving the original hardware, software, or
operating system involved in creating the digital object
i.
Any desire to preserve the original "look and feel" is out of
the scope of digital preservation.
2. Anything
that a selector approves of for the Central Digital Repository should be preserved by
a trusted provider or through our own preservation efforts.
a.
The preserved object will be the fullest expression of the content as indicated
by the metadata.
b.
This "fullest expression" will then be called the COLLECTION MASTER.
i.
PRESERVATION OF DIGITAL MATERIALS BEGINS WITH THE CREATION OF THE RESOUCE:
the onus is on the creator to make sure the proper metadata accompanies
the original object.
3.
The preservation strategy of migrating collection masters will be predicated
upon the format in which they were originally collected.
a.
Following the LofT Format Committee's decisions, items to be preserved should
adhere to a specified list of formats.
b.
If items (even though admitted through selection) do not comply to specified
preservation formats, they will be migrated for as long as possible as long
they are still "readable" by the current generation of tools.
c.
When objects are no longer "readable" by the current generation
of tools, they will no longer be kept in the migration cycle.
d.
NOT ALL MATERIAL WILL NEED TO BE PERMANENTLY PRESERVED.
4.
The Library will require a format specific (or media specific) policy.
a.
There may be a variety of formats for collection masters. A specific case
for media can be made.
b.
The current recommendation of this Committee will be for all digital material
to be transferred to DVD.
i.
For now, one exception is Digital Video, which will be preserved in tape
form.
5.
The Collection Masters will need to be placed on a refresh cycle of no more
than five years. A period of every four years is recommended following peer
practice.
6.
This strategy document will develop from the premise that while UVa Library
must address long-term preservation of and access to materials within its
collections, this document addresses only the next 3 years. This is meant
to be an interim document .
a.
Resources created or under threat within that period should be targeted
for preservation immediately.
b.
This policy should be designed to provide adequate guidance for UVa Library
material and projects in order to ensure we are not dealing with legacy
problems again when it is revised.
Not included:
- Who manages the preservation
process?
- Who handles the collection masters?
- Where does preservation fit
in the workflow? (Proposed for the beginning -- two copies, collection and
delivery master).
- What costs are expected?
- Equipment decisions:
- Media -- DVDs, tapes
- Burners
- Jukebox
- Management technologies
