Repository EAD Finding Aid Search and Delivery Functional Specifications

I. Main Screen: EAD Collections

A. Top navigation will lead to all major areas of the Digital Collections, and persist in all screens in the EAD Find Aid section.

    1. Top navigation will include links to Simple search across all collections ("Search all Collections"), and to each full-text collection interface ("Image Collection", " Text Collection", "Finding Aids")

B. Navigation in the body of the page will include links to Advanced Search, Cross-Collection Search, About Finding Aids (links to About page), and Software Requirements (links to Help page).

C. A brief description of the EAD Finding Aid Collections will appear in the body.

D. Provide a keyword search box to search full text in indexed EAD collections.

    1. Paired with radio buttons to select options to match all words ("All words") or any words ("Any word") when multiple words are entered in the keyword box. "All words" is the default.

    a. Phrase searching (entering an entire phrase within quotation marks to be matched) is supported.

    2. Drop-down option to select the number of results to appear on each screen of results ("25", "50", "100")

    3. No results display options are presented.

E. Link to a Help Screen ("Help")

    1. The Help Screen includes general description of the site navigation, basic search help, advanced search help, help for the results set navigation, including the ImageViewer. The link from the basic search screen goes directly to the basic search help section via an anchor.

F. Link to an Advanced Search ("Advanced Search")

    1. The Advanced Search Page will contain a keyword box paired with a drop-down box containing element options for advanced searching.

    a. At this time, the drop-down element name box will only contain the options "anywhere" (any element) and “title.”

    b. There will be three instances of the box pairs, separated by a drop-down box with the Boolean options "and" & "or."

    c. A drop-down box will be available to select the number of results to appear on each screen of results ("25", "50", "100").

    d. No results display options are presented.

    2. The page will include brief advanced search instructions.

    3. The page will include a link ("Basic Search") to the main EAD page, a link ("Help") to the Help Page, and a link to the Finding Aid Collection Browse (“Browse”)..

G. Link to a Finding Aid Collection Browse.

    1. The Finding Aid Collection Browse is a dynamic page that presents results of an unseen query for the entire collection.

    a. Results will be sorted by title.

    b. The link is formatted as the title and collection number of the Finding Aid, separated by a comma (" A Guide to the William Faulkner Collection, 10863”)

    1. When Finding Aids are added from institutions other than UVA, the link format will be modified to include all parts of the institution name (" University of Virginia: Library: Special Collections Dept: A Guide to the William Faulkner Collection, 10863”)

    a. When this change is made, sorting will be by institution name, and by title within institution.

    c. Clicking on the title link takes the user to the default EAD Finding Aid View – the Title Page.

    d. Additional navigational options should be reviewed, such as A-Z jump navigation to results that are chunked by letter. When Finding Aids are added from institutions other than UVA, jump navigation to results that are chunked for each institution should be considered.

    2. Links to “Basic Search,” “Advanced Search,” “Browse,” and “Help.”

II. Results Screens

    A. Finding Aid Search Results Screen

    1. Reiterate the search term (in red and within quotation marks (e.g. "ghost"), and supply numeric details for the results ("241 total hits in 68 texts")

    2. Results are sorted by relevance/number of hits.

    3. Listing of results by work with a notation of the number of matches within that work (" Thomas Jefferson papers 10 matches")

    a. Clicking on the title link takes the user to the default EAD Finding Aid View – the Title Page.

    b. Clicking on the link with the number of matches takes the user to a Hit in Context list of all matches within that work with results in context, sorted by sequence as they occur in the work.

    4. If there are more results than appear on the first screen, navigation to additional results screens.

    5. The screen should include a box to perform a new search.

    B. Hit in Context Search Results Screen

    1. The Results in Context screen present the styled text from the work where a result is found. The word or phrase is highlighted in red within the text.

    2. The author and title of the work are presented at the top of the screen.

    3. The screen contains a link to the higher level or organization in the work ("View Entire Section").

    a. Clicking on that link takes the user to an EAD Finding Aid View containing a chunk with the higher level of structure in the work for the hit.

    b. The screen contains a menu or set of links is available to take the user to displays of specific sections of the finding aid, or the entire text.

    c. The screen contains a “Search this Finding Aid” search box to search within the single finding aid.

III. EAD Finding Aid Displays

    A. Default EAD Finding Aid Display

    1. The title and the collection number of the finding aid are presented at the top of the screen, title over collection number.

    2. The default view encountered after discovering a finding aid through a search or a browse is the Title Page for the finding aid.

    3. A menu or set of links is available to take the user to displays of specific sections of the finding aid, or the entire text.

    a. A link to a presentation of the entire finding aid on a single scrolling screen ("Complete Guide").

    b. A link to the Title Page for the finding aid.

    c. A link to the Administrative Information for the finding aid.

    d. A link to the Descriptive Summary for the finding aid.

    e. A link to the Scope and Content Information for the finding aid.

    f. A link to the Organization for the finding aid.

    g. A link to the Biographic/Historic Information for the finding aid.

    h. A link to the Contents List for the finding aid.

    4. A “Search this Finding Aid” search box to search within the single finding aid.

    a. Listing of results by work with a notation of the number of matches within that work (" Thomas Jefferson papers 10 matches")

    1. Clicking on the title link takes the user to the default EAD Finding Aid View – the Title Page.

    2. Clicking on the link with the number of matches takes the user to a Hit in Context list of all matches within that work with results in context, sorted by sequence as they occur in the work.

    b. If there are more results than appear on the first screen, navigation to additional results screens.

    5. Links to “Basic Search,” “Advanced Search,” “Browse,” and “Help.”

    B. Specific EAD Finding Aid View Displays

    1. The title and the collection number of the finding aid are presented at the top of the screen, title over collection number.

    2. The options are specific views of the finding aid, the same as those available in the finding aid navigation.

    b. Title Page

    c. Administrative Information

    d. Descriptive Summary

    e. Scope and Content Information

    f. Organization

    g. Biographic/Historic Information

    h. Contents List

    3. A menu or set of links is available to take the user to any of the other views of the finding aid, or the entire text. This navigation is available on all views of the finding aid.

    4. A “Search this Finding Aid” search box to search within the single finding aid is available on all views of the finding aid.

    5. Links to “Basic Search,” “Advanced Search,” “Browse,” and “Help” are available on all views of the finding aid.
