Orientation to the Image Collection

New users of the collection are encouraged to request orientation to the Image Collection before using it. Individual orientations are performed on a drop-in basis. Group sessions for classes must be scheduled in advance. Please consult with Ellen McHugh (243-8792) to make arrangements.

Using the Collection

The cataloged image collection is organized using a local call number system. For the majority of the collection, call numbers are constructed first alphabetically by country. Within countries slides are organized chronologically by century, then alphabetically by the name of the creator (architect, artist, or artisan) and last by individual work. Currently, the collection is in the process of shifting from the old call number system (mentioned above) to a new system that separates built works with a known architect from those identified by location. Built works with a known architect will be filed by architect's last name, followed by the building name. Built works without a known creator are filed by location beginning with country name. Finding aids are provided for the users assistance. The card catalog provides creator, title, subject and location access to cataloged slides. In addition, a portion of the slide collection is cataloged online through VIRGO, the University of Virginia online catalog. Digital images from the collection can be accessed though the UVA Library Digital Repository Image Collections.

Borrowing Slides

Borrowers must be listed on the University of Virginia Libraries patron database to borrow slides. Check the University Libraries' Circulation Policies for details. An Image Collection circulation form is available in the Image Collection for patron use. There is no limit to the number of slides that may be borrowed. The borrower of record is responsible for all slides listed on the circulation form. Faculty borrowers who are regular users of the collection will be provided with personal checkout slips for their convenience. The loan period for University of Virginia students is 24 hours; the loan period for faculty is seven days. Other loan arrangements may be made with the Fine Arts Image Collection staff. Slides are not available through Interlibrary Loan.

Overdue notices are generated through Virgo and accrue fines at the rate of $1.00 per day per slide for all non-faculty borrowers; the maximum fine is $20.00 per slide. Lost slides are billed at the rate of $10.00 per slide.
