Borrowing
Overview
The Borrowing department provides to University of Virginia faculty, students and staff materials not owned by U.Va. Libraries from libraries worldwide. Materials that you may borrow from other libraries include articles, books, dissertations, government documents, techincal reports, patents and newspapers on microform. In some cases videos and sound recordings are also available. Requests are usually filled in 3-10 working days.
The services of Interlibrary Loan are intended to support learning, teaching, research, and scholarship and are offered only to University of Virginia students, faculty and staff. Interlibrary loans involve expenditure of state and university funds. The Library reserves the right to review patron requests for ILL services and to decline such requests at the Library’s sole discretion. As is the case with all other Library services, patrons are expected to comply with copyright in their use of materials obtained through Interlibrary Loan.
Request Process
- First-time users, please visit our logon page to set up an account. After setting up your account, you will be able to request and track the process of all your Interlibrary Services requests.
- For materials not owned by a U.Va Library, logon to your ILS account and choose the appropriate Request Type from the menu on the left side of the page. Fill in as much information as you have available to ensure we borrow the correct item. Faculty requests will automatically be delivered to the office of the department.
Renewals
Please wait until you receive a first Reminder Notice (one week before the Due Date) before requesting a renewal.
Do NOT request a renewal after receiving an Overdue Notice.
Do NOT request a renewal if the slip or label that came with the book says: "No Renewals"
To request a renewal:
- Check the label or slip that came with the item for "Renewals Allowed: Yes"
- If "Yes", login to your ILS account
- Click "Renew an ILL Item" link in the Main Menu on the left
- Click the Transaction Number of the item to renew (NOTE: If no "Renew Request' link appears, you may not renew)
- Click 'Renew Request'
Your loan will automatically be extended one week and ILL staff will be alerted to request a renewal from the lender. Each lending library sets its own renewal policy.
If your Renewal is approved, you will be sent a new Due Date by email.
If your Renewal is refused, you will be sent an e-mail to return the book by the current Due Date. You may place a new request for the non-renewable item.
Fees
Interlibrary Services does not charge for Interlibrary loans. However, users are expected to pay any interlibrary loan charges over $40.00 that are imposed by another library. You will be notified before the transaction if this might be the case.
Delivery of Material
All articles will be delivered via e-mail in PDF format.
Faculty requests for materials will be delivered to the departments. Graduate students, undergraduates, and staff may designate a pick up library for delivery.
Instructions for Requesting Dissertations & Theses
Dissertations and theses are sometimes unavailable for loan. Interlibrary Loan does not pay for copies of these items, but you have the following options:
1. Many US dissertations & theses are available from the library's subscription to 'Dissertations & Theses: Full Text - 1861-present' (see VIRGO Databases). Titles not available may be purchased from University Microfilms (UMI). The Interlibrary Loan office can obtain an unbound photocopy for the discounted price of $33 + tax. You must agree to pay the full amount on receipt. The copy will be yours to keep. Contact us at 4leo@virginia.edu if you wish to buy a copy. UMI also sells paper and hardbound copies. 2. UK dissertations & theses may be ordered and downloaded from the EThoS service of the British Library. You must set up an account and agree to copyright restrictions, but there is no charge for the full-text copy. There may be a waiting period if the item is not already available in the EThoS archive. 3. DART-Europe is a partnership of research libraries and library consortia who are working together to improve global access to European research theses. Their database can be searched here: www.dart-europe.eu/basic-search.php.
4. Non-US and non-UK dissertations & theses may sometimes be acquired through the Center for Research Libraries (CRL), Chicago, IL. There is no charge for this, but the process involves copyright permissions and can sometimes be long or unsuccessful. 5. Some US dissertations & theses are available only through purchase from the degree institution. In these cases we will provide you with contact information for the institution's photoduplication services.
