Room and Equipment Reservation

Reserving the Scholars' Lab Small Group Meeting Room

You may view the schedule for the Scholars' Lab small group meeting room here. After reviewing the usage guidelines below, call 243.8800 or stop by the Scholars' Lab desk to make a reservation.

Small Group Meeting Room Guidelines

  • The Scholars' Lab small group meeting room (Alderman 419A) is available to faculty, staff, and students affiliated with the University of Virginia for group study and meetings. The room must be reserved at the Scholars' Lab desk or by phone, at 243.8800. Reservations are taken up to two weeks in advance, and must be made at least one day in advance. No individual may have more than three pending bookings at one time within the two week period.
  • Groups may reserve the room for a maximum of three hours per day when making a reservation. Groups seeking further same-day use of the room may only do so when no reservations are scheduled, when two or more people are present to use the room, and for a maximum of two more hours per day.
  • A minimum group of two is required to reserve the small group room.
  • If the room is not used within fifteen minutes of the scheduled reservation start time, it will be considered vacant and may be offered to other groups for two-hour periods on a first-come, first-served basis.

Reserving the Scholars' Lab Classroom Space

The Scholars' Lab classroom is available for the occasional teaching and presentation needs of the University community, with a dozen high-end workstations and projection capability. In order to keep our specialized equipment and support widely available, we do not schedule regular class meetings in this space. Instructors are instead invited to reserve the classroom for special sessions that require digital support. The room must be reserved at the Scholars' Lab desk or by phone, at 243.8800.

When the classroom is not otherwise reserved, we open it up to general use by students and faculty.

Reserving Scanners

Patrons with scanning needs are offered priority access to Scholars' Lab hardware. This means that, unless you are actively using our scanners, you may be asked to offer your seat to another Library patron. Any of our scanners may be reserved at the main desk or by using our online form. Please note your scanner preference (if any) and expected duration of use.

If you have questions about reservation policies and procedures, please ask for clarification at the Scholars' Lab desk. Policy exemption or modification requests will be referred to the Director of Digital Research and Scholarship for consideration. The Library reserves the right to change these use conditions without notice.
